Manage and delete your Gmail and Google Calendar data

How to connect Gmail and Google Calendar, what FinishTax copies, how to disconnect, what gets deleted, and how to end access at Google or ask us to delete data.

Connect Gmail

  • Open Inbox and click Connect mailbox, or Mailboxes if you already have one.
  • Read the notice above the button, then click Sign in with Google and choose the account.
  • Until Google finishes reviewing FinishTax, Google shows a warning screen. To continue, choose Advanced, then Go to FinishTax.

Connect Google Calendar

  • Open Calendar, then Availability, and find Your Google Calendar. The firm owner can do this, and so can a team member who is allowed to access integrations.
  • Read the notice above the button, then click Sign in with Google and choose the account.

This connection is the firm's. The firm's appointments go onto the calendar of the Google Account you choose here.

What FinishTax copies from Gmail

  • Your Inbox and Sent mail, up to the latest 2,000 messages in each, then new mail as it arrives. Archived mail outside those two isn't copied.
  • For each message: the sender, recipients, CC, subject, date, the message text, Gmail's short preview, whether it has been read, and the name, type and size of each attachment. Very long messages are cut short.
  • An attachment is fetched from Gmail when you open it. FinishTax keeps a copy only if you file it to a client, and it's then one of that client's documents, which people who can see that client can open.

The copy is on FinishTax's servers, so you can read and answer mail here and see which clients it's from. There's no shorter automatic limit: it stays until you remove it in one of the ways below.

Your mail is visible only to you in FinishTax. FinishTax sends mail from your address only when you click Send, and changes nothing else in your Gmail mailbox: reading, starring or archiving mail in FinishTax stays in FinishTax.

The privacy policy has the full detail.

What FinishTax does with Google Calendar

  • It adds appointments booked in FinishTax to the account's primary calendar, with the title, time, notes and the client's name, and invites the client, so Google emails them an invitation. It updates or removes the event when the appointment changes or is cancelled.
  • It shows that calendar's events beside the FinishTax calendar, for the dates being viewed, to the firm owner and anyone at the firm who can see all clients. These events are fetched each time and aren't stored.
  • It keeps the Google Account's email address and the IDs of the events it added.

Disconnect Gmail

  • On a computer, open Inbox, then Mailboxes, and click Disconnect beside the mailbox. A phone can't do this yet, in the FinishTax app or in a browser.

That deletes every message copied from it and the tokens FinishTax held for it. Encrypted backups age out within 30 days after that. FinishTax also asks Google to end its access, unless another FinishTax connection uses the same Google access, such as your firm's Google Calendar on the same Google Account. Then it ends when the last of those is disconnected.

Attachments you filed to a client stay in that client's files until you delete them there.

Disconnect Google Calendar

  • Open Calendar, then Availability, click Disconnect under Your Google Calendar, and confirm. You can do this on any plan. The firm owner can, and so can a team member who is allowed to access integrations.

That deletes the tokens FinishTax held and asks Google to end its access, with the same exception as above. New appointments stop going into the calendar. Events FinishTax already added stay in your Google Calendar until you remove them there. FinishTax keeps those events' IDs on their appointments until the appointments are deleted, so if you reconnect the same account it can still update or remove them.

End access at Google

You can do this at any time, without opening FinishTax: go to your Google Account's third-party connections, choose FinishTax and remove its access.

That stops new mail and calendar changes, but it doesn't delete what FinishTax already copied. To delete the mail, disconnect the mailbox in FinishTax as well.

Delete your account

  • Firm owners, on the web: Settings, then Your data, then Reset or close your account, then Delete account.
  • In the FinishTax app: More, then Settings, then Your data, then Reset or close your account, then Delete account. Team members: More, then Settings, then Delete account.
  • Firm owners: if your firm has a team, remove the team first, on the Team page. You can't delete a firm while it has active team members.

That deletes your connected mailboxes, the mail copied from them and their tokens, and, for a firm owner, the Google Calendar connection. Encrypted backups age out within 30 days. FinishTax also asks Google to end its access, with the same exception as above. If you're a team member, attachments you filed stay in your firm's client files.

Reset data, on the same screen, also waits until the team is removed. It removes the copied mail but leaves the mailbox connected, so FinishTax copies mail again when it next syncs. Disconnect first if you want it gone.

Cancelling a subscription doesn't delete any of this.
